One salesperson uses a spreadsheet. Another tracks opportunities in their inbox. Someone else keeps notes from customer calls outside the CRM.
The CRM exists, but management still needs meetings, messages and spreadsheets to understand what is actually happening.
This usually means the issue is not CRM adoption alone. The sales process itself has never been translated properly into the system.
A useful Odoo CRM pipeline should answer three questions immediately:
- Where is each opportunity?
- What needs to happen next?
- How reliable is the current pipeline?
If the sales director still needs to ask the team for those answers, the CRM is not doing enough.

Odoo CRM allows sales teams to organise opportunities through configurable pipeline stages.
The important part is deciding what those stages actually mean.
Generic stages such as:
New → Qualified → Proposition → Won
may be technically correct, but they rarely describe how a company really sells.
For a B2B sales process, a more useful pipeline could look like:
New opportunity → Qualified → Discovery completed → Solution validated → Proposal sent → Decision pending → Won / Lost
The names themselves matter less than the rule behind them.
For every stage, the sales team should know:
What needs to have happened before an opportunity gets here?
A salesperson should move an opportunity because something changed in the customer journey, not simply because the deal “feels more advanced”.
HOW WE WOULD CONFIGURE ODOO CRM
Before creating stages in Odoo, we normally define the sales logic behind them.
For example:
Qualified: The business need has been confirmed, the relevant contact is identified and there is enough information to justify continuing the sales process.
Discovery completed: Requirements, key stakeholders and the customer's decision process have been discussed.
Proposal sent: A quotation or commercial proposal has been delivered and an expected decision date is known.
Decision pending: The proposal is being evaluated and a next action is scheduled.
This makes the Kanban board more than a visual representation of opportunities.
It becomes a shared definition of how the organisation sells.
NEXT ACTIVITIES MATTER AS MUCH AS STAGES
A pipeline tells you where the deal is.
Activities tell you whether it is moving.
One of the most useful disciplines in Odoo CRM is ensuring that active opportunities have a clear next activity.
That activity can be a call, meeting, email, follow-up or internal task.
Instead of asking: “What is happening with this opportunity?” a sales manager can see what the next action is and when it is expected.
This also changes how pipeline reviews are conducted.
The conversation becomes less about collecting status updates and more about exceptions:
- Why has this opportunity had no activity for ten days?
- Why is the expected closing date already in the past?
- Why are several opportunities stuck at the same stage?
That is where CRM data starts becoming useful for management.
PIPELINE VISIBILITY
What should a sales director be able to see in Odoo CRM?
A well-configured Odoo CRM should provide visibility over:
- Opportunities by stage and salesperson
- Expected revenue
- Expected closing dates
- Next activities
- Sales team performance
- Won and lost opportunities
- Lost reasons
The objective is not to create more reporting, but rather, to reduce the amount of information that has to be collected manually before a decision can be made.
THE MOST COMMON MISTAKE
Copying a generic CRM pipeline
A common implementation mistake is configuring stages based on a tutorial, a previous CRM or Odoo's default structure - the result often looks perfectly organised but tells management very little.
The pipeline should reflect the company's commercial process.
For one company, “Proposal Sent” may already mean that the technical solution has been validated, and for another, a proposal may be sent before technical validation has even started.
Those are very different sales processes and they should not use the same pipeline blindly.

A CRM is only as good as the process behind it
Odoo CRM is flexible enough to support very different sales models.
That flexibility is useful, but it also means that simply activating the CRM application is not enough.
Stages need a clear meaning. Activities need to support follow-up. Lost reasons need to produce useful information. Reporting needs to answer the questions management actually asks.
A good CRM implementation does more than centralise opportunities.
It creates a common sales language across the organisation.
And once everyone uses the same definitions, pipeline visibility becomes much more reliable.
FAQ: ODOO CRM PIPELINE CONFIGURATION
Can Odoo CRM stages be customised?
Yes. Odoo CRM pipelines can be adapted to reflect the stages used in a company's sales process rather than relying only on a generic structure.
How many CRM stages should a sales pipeline have?
There is no ideal number. Each stage should represent a meaningful change in the sales process. If two stages do not lead to different actions, decisions or reporting, they may not need to be separate.
What information should an Odoo CRM opportunity contain?
At minimum, the sales team should be able to understand the opportunity owner, current stage, expected revenue, expected closing date and next activity. Additional information depends on the sales process.
Should every opportunity have a next activity?
For active opportunities, this is a useful operating principle. It makes stalled deals easier to identify and reduces dependency on individual memory.
Should Odoo CRM be configured before defining the sales process?
Ideally, no. The commercial process should first be understood and agreed. Odoo can then be configured to support that process rather than forcing the team to adapt to an arbitrary CRM structure.
