Odoo HR Onboarding: From Signed Offer to Productive Employee

Every new hire creates a small internal project

A candidate accepts an offer and suddenly several people have something to do.

  • HR needs personal information and employment documents. 
  • The contract needs to be prepared and signed. 
  • IT needs to create access and prepare equipment.

Depending on the role, there may also be certifications, internal procedures or specific tools to prepare before the employee arrives.

Most companies already know these steps. The difficulty is making sure they happen consistently, on time and with clear ownership.

This is where onboarding often exposes how fragmented an HR process really is. Recruitment happens in one place, the contract is exchanged by email, employee information is entered again somewhere else, IT receives a message and HR keeps a checklist to make sure nobody forgot anything.

For the new employee, it is one company and one onboarding experience. Internally, however, several disconnected processes are trying to create the same employee.

A well configured Odoo HR process can connect those steps much earlier.

From candidate to employee without starting the process again

The transition can begin inside Odoo Recruitment.

Applications are managed through a recruitment pipeline, and once the company decides to make an offer, Odoo can generate the employment proposal and take the candidate through the signature process. Once the contract has been fully signed and the candidate is hired, the employee record can be created using information already captured during recruitment and the offer process.

That continuity matters more than it may initially appear.

If the organisation already knows the person's name, contact information, position, department and employment conditions, asking HR to enter those details again adds administration without adding information.

The employee record then becomes the reference point for what follows. Odoo Employees centralises information such as employment data, departmental hierarchy, contracts, certifications, training and assigned equipment.

That means onboarding is no longer an isolated HR checklist. The information created during it becomes useful later for other processes such as Time Off, Payroll, Attendances, equipment management or employee development.

The employee is created once, and the HR processes around that person can build on the same record.


HOW WE WOULD CONFIGURE IT

Turn onboarding into a process the company can actually repeat

Before configuring an onboarding plan, we would map what needs to happen around a new employee and, more importantly, who is responsible for each step.

Some activities need to happen before the first day. Others belong to the first week or first month. Some are owned by HR, while others belong to the manager, IT, Finance or the employee.

Odoo Employees allows onboarding plans to contain a sequence of activities with their own timing and responsible users. Those plans can also be restricted to specific departments when different teams genuinely need different onboarding processes. Once a plan is launched, Odoo schedules the activities according to their configured deadlines.

Consider a consultant joining a professional services company.

  • Before the start date, the contract should already be signed, equipment prepared and system access created. 
  • During the first days, the manager may need to organise internal introductions, methodology training and access to the relevant projects or customer environments. 
  • Later, the employee may need specific certifications or training.

None of these tasks is particularly complex on its own. What becomes difficult is coordinating all of them every time a person joins.

This is where the onboarding plan earns its place. HR no longer has to personally remember and redistribute the complete checklist with every new hire. The process already knows what needs to happen and who needs to do it.

That allows HR to concentrate on what is missing or blocked rather than manually orchestrating every normal step.


DIFFERENT ROLES NEED DIFFERENT ONBOARDING

Standardise what should be standard, adapt what genuinely changes

There is a temptation when implementing onboarding to create one very large company checklist containing everything that anyone might ever need.

That usually makes the process heavier rather than better.

A salesperson, warehouse operator, accountant and field technician may share a common company onboarding, but some of their preparation will naturally differ. Odoo allows onboarding plans to be configured for specific departments, while a general plan can remain available across the company.

The useful distinction is between activities that should always happen and activities that exist because of a particular role.

Everyone may need employment documentation, company policies, equipment and an introduction to the organisation.

A Finance employee may additionally need access to accounting environments and approval workflows. A field technician may require safety training, specific equipment and certifications. A salesperson may need CRM access and commercial process training.

We would therefore avoid modelling every possible variation in one process.

Consistency is valuable when it removes uncertainty. It becomes bureaucracy when it forces irrelevant steps onto people simply because the workflow was designed that way.


DOCUMENTS AND SIGNATURES

Contracts should be part of the HR process, not a parallel workflow

Employment documentation is another area where HR processes often become unnecessarily fragmented.

A contract is prepared, converted to PDF, emailed to the candidate, downloaded, signed, returned by email and then stored somewhere else. The recruitment process and the document process effectively separate at the point when the employment relationship becomes official.

Odoo connects these steps more closely.

Odoo Sign supports reusable templates, multiple signers and signature requests initiated from Odoo records. Odoo's contract functionality also uses Documents and Sign for contract templates and signatures.

In the recruitment flow, the candidate can review and sign the offer, after which the appropriate company representative can complete their part of the signature process. Once all required signatures are complete, Odoo marks the candidate as hired and the employee record can be created.

The practical benefit is continuity.

The contract is no longer a PDF that happens to belong to an employee. It becomes part of the process that creates that employee.

As the organisation grows, that distinction becomes increasingly important. Informal processes that are perfectly manageable with ten employees become much harder to control once several managers, departments or legal entities are hiring simultaneously.


BEYOND ONBOARDING

The employee record should keep working after the first week

A good onboarding process eventually becomes invisible because the employee simply moves into normal company life.

The information collected during recruitment and onboarding should continue to support that life rather than remaining trapped inside a completed checklist.

Odoo Time Off, for example, manages leave types, allocations, balances, requests, approvals and accrual plans around the employee record. Contracts provide employment information that becomes relevant to Payroll, while Employees can keep track of areas such as skills, certifications, training and equipment.

The same principle also applies when the employment relationship ends.

Odoo supports offboarding plans that can coordinate steps such as returning equipment, revoking system access, completing HR documentation and organising exit interviews. Plans can again differ by department where necessary.

Onboarding and offboarding are therefore two sides of the same requirement: the organisation should be able to execute the employee lifecycle consistently without depending on one person remembering every action.

This matters operationally, but it also matters from a control perspective. Forgetting a welcome meeting is inconvenient. Forgetting to remove access when someone leaves can have much greater consequences.


THE MOST COMMON MISTAKE

Automating an onboarding process nobody has properly defined

Odoo can schedule activities very efficiently.

That does not mean the activities are the right ones.

If nobody has agreed what should happen before a new employee starts, who owns each step or what information is genuinely required, automation simply reproduces that ambiguity more consistently.

We would therefore map the onboarding process before configuring it.

The useful questions are practical. What must already be completed on the employee's first day? Which activities can happen afterwards? Where does HR's responsibility stop and the manager's begin? What does IT need to prepare? Which documents genuinely need to be signed? Which requirements change according to the department?

The result does not need to be a complicated process.

In fact, good onboarding is often surprisingly simple once responsibilities are clear.

Odoo should then make that agreed process repeatable.


ANOTHER COMMON MISTAKE

Designing onboarding entirely from HR's perspective

A technically perfect HR workflow can still create a poor onboarding experience.

HR may want forms completed, documentation signed, policies acknowledged and activities closed. All of those requirements can be legitimate.

The new employee experiences the cumulative effect of them.

If the first week becomes a sequence of forms, automated emails and administrative tasks, the organisation may have gained process control while making the actual onboarding worse.

This is where we would challenge the configuration.

Every activity should either help the organisation prepare for the employee or help the employee become effective in the organisation.

The parts that benefit from automation should be automated. The parts that require conversations, introductions, judgement and human interaction should remain human.

An ERP is very good at making sure a manager remembers to schedule a first week meeting.

It cannot make that meeting useful.
